Property Management Administrator

Job Introduction

We are recruiting a Property Management Administrator based at our Head Office in Long Bennington, Newark to provide administrative support to our Property team. This will include support to our maintenance and housing team and you will report to our Director of Quality and Governance who oversees the team.

You will be based in a modern office in Long Bennington, just off the A1, 5 miles outside Newark. 24 people are based in this office, with other staff using the office from time to time.  There is plenty of parking on site.

This will be a permanent role working 20 hours a week across a minimum of 3 days with specific hours to be agreed with the successful candidate.

Successful candidates will be required to have a Standard DBS check prior to commencing employment.

Main Responsibility

  • Responsibility for the Property team databases, including: inputting new information, creating records and reporting on information.  This will also include general property information, in addition to information required for compliance purposes.
  • Provide general administrative duties: dealing with any mail or emails related to the team, logging maintenance tasks onto the workflow system, general record keeping in relation to the actions of the team and liaison with team members.
  • In conjunction with the Lead Maintenance Technician, arrange appointments for quotes related to maintenance work, process successful quotes and maintain contractor information in accordance with guidance.
  • Prepare information for internal authorisation processes, based on quotes received.
  • Ordering of equipment and following-up requests for equipment according to company guidance. 
  • On occasions, undertake general administrative duties as required, such as: typing, filing, photocopying, sorting post etc for members of the team as required.
  • Oversight of the company archiving processes from an administrative point of view, this involves: record keeping, ordering of equipment and providing some induction information to new admin staff across the group – the process of archiving is local and carried out by operational staff.
  • Support any administrative requirements for new services – including ordering of equipment and ensuring that they are set up on the required property systems.
  • Providing administrative support to the process of recycling office paperwork, including maintaining records and authorising invoices to agreed levels.
  • Liaison with members of the team including: telephone, email and video calls in addition to meetings to discuss team actions, priorities and support needed.
  • Ensure all requirements in relation to data protection and confidentiality are achieved.
  • Attend and complete any training relevant to the role and in relation to the wider business of the company.
  • From time to time, visit services to support the work of the Property team.

The Ideal Candidate

  • Excellent attention to detail and accuracy skills.
  • Previous administration experience is essential – specific experience in a property or maintenance environment is not required, as a full induction and any training will be provided.
  • You will enjoy working as part of team as well as using your own initiative.
  • Highly organised with the ability to prioritise tasks.
  • Friendly personality with a flexible attitude and able to adapt skills to new tasks with appropriate support and guidance.
  • Excellent communication skills to liaise with people in all levels of the organisation and external contacts.
  • An understanding of the need to be confidential and able to manage information to support this.
  • Proficiency in MS Office and Excel.
