Learning and Development Administrator

Job Introduction

Eden Futures provides high-quality, person-centered care, support, and enablement for people with disabilities and support needs. We develop services around the individual at all stages of their care pathway from treatment and support under the Mental Health Act, on discharge from hospital under a CTO, to lifestyle support in the community. 

 

The Learning & Development (L&D) Administrator provides a professional point of contact within Eden Futures, to assist in the achievement of its aims, namely, to enrich the lives of all stakeholders, service users, families and other agencies. 

 

The L & D Administrator provides essential administrative and operational support to the L&D team, ensuring smooth delivery of induction, training programmes, e-learning, and compliance reporting across the organisation. This role is central to maintaining accurate training records, supporting trainers, and ensuring colleagues have access to the learning resources they need to develop and succeed.

Main Responsibility

Training Administration & Coordination

  • Schedule virtual classroom sessions (via Teams), circulate joining links, and manage delegate communications, supporting operations and the SST team.
  • Coordinate induction programmes, including timetables, attendance registers, knowledge checks, and follow-up actions.
  • Generate personalised induction schedules for new staff, and share with Operations Mangers and Regional Administrators (as required)
  • Respond to training enquiries and requests via the L&D inbox, including cancellations, rescheduling, and course creation. *
  • Supporting monitoring course attendance in collaboration with the L&D Coordinator and Operations Managers and liaise with trainers regarding low numbers.
  • Monitor and amend courses on BroadShield (as required) when changes are needed.
  • Process delegate lists after checking prerequisites are met for Tier 2 Oliver McGowan Training and pass these on to the external training provider in a timely manner. 

 

E-Learning & Records Management

  • Administer the Myrus (Broad Shield) e-learning platform, including new starter set-ups, leaver processing, reactivations, and data archiving.
  • Upload competencies and sign off induction, probation training records, and competency records within individual training plans.
  • Maintain accurate tracking of training completions, fire drills, and knowledge checks.
  • Support with the logging, validation, and resolution of incomplete or incorrect submissions.
  • Track and communicate with operations and the SST team on progress of failed knowledge check resubmissions and update spreadsheet accordingly.
  • Track and monitor the Oliver McGown Tier 1 eLearning training and ensure prerequisites are met for Face to Face Tier 2 training 

 

Support for Trainers & Managers

  • Provide pre- and post-training administrative support such as checking prerequisite training prior to course attendance, preparing materials (where required), uploading documents, and tracking attendance changes.
  • Assist trainers during sessions with technical set-up, monitoring engagement (e.g., camera use), and supporting delegates (whenever required).
  • Liaise with Operations Managers to process new starter training requirements and confirm pre-requisites.
  • Develop user-friendly L&D guides and process documents for managers and internal staff.
  • Record minutes for team meetings. Ensure these are accurately typed and distributed.

 

Stakeholder Engagement

  • Build strong relationships with the L&D team, trainers, Operations Managers, and Regional Administrators.
  • Liaise with external partners including BroadShield, SkillBase, and external Tier 2 Oliver McGowan training providers and have an understanding of the work of other partners e.g., Skill for Care, apprenticeship providers, and Maybo.

 

Resource & Systems Management

  • Manage training equipment e.g., First Aid supplies, and venue bookings, ensuring resources are available (when required in the absence of the L&D Coordinator).
  • Contribute to system improvements and resolve issues with providers (e.g., BroadShield, MS Forms)

 

Other

  • Deputise for the L&D Coordinator in their absence (specifically admin tasks).
  • Complete other duties as determined by the Learning & Development Business Partner within the general scope of the post.

The Ideal Candidate

Experience and Skills required:

 

  • Strong communication and interpersonal skills
  • Strong in the use of Excel to support both reporting as well as daily tasks
  • Confident in other Microsoft Office packages e.g. Outlook and Word.
  • Ability to manage own workload and meet deadlines 
  • Ability to work under pressure and be flexible to the demands of the organisation
  • Ability to prioritise and manage your own workload amid conflicting demands and busy working periods
  • Ability to exercise discretion in dealing with confidential or sensitive matters
  • Can work collaboratively with internal and external stakeholders 
  • Have high standards of quality and professionalism 
  • Are methodical, organised and have keen attention to detail
